IntelliLogic, a United States software company for medical device distributors, said today that its platform now covers thirteen modules on a single shared record, so that the representative in the field, the office that bills hospitals and pays reps, and the owner who answers for both are working from the same data rather than from copies of it.
Medical device distribution is unusual in how many people touch one event. A surgical case is booked by the office, covered by a rep, billed to a hospital at a contracted price, reported to a manufacturer on its own form, and paid out to the rep as commission. In most distributorships each of those hands keeps its own spreadsheet, and the errors live in the gaps between them.
For the rep, the platform provides a calendar of assigned and covering cases, tray requests, a charge sheet to complete and sign at case close, a view of their own commission results, an expense form with receipt capture, training courses with a single quiz attempt, and a set of HR documents to keep current. An AI assistant answers a rep’s questions about their own cases, charge sheets, expenses and pay, and about nothing that belongs to another rep or to the company.
For the office, the same records show up as work to do. Facility management holds which products each hospital has approved and at what price. The manufacturers module holds each manufacturer’s order form and the rate it pays the company. Charge sheets arrive priced from the facility contract and are routed to the manufacturer’s addresses. Expense reports arrive with receipts attached and are approved, rejected with a reason, or marked reimbursed. HR verifies W-9s, direct deposit details and insurance, and approves training retakes.
“The rep, the biller and the owner have always been describing the same case,” said Karrie Short, founder of IntelliLogic. “They just described it from three different spreadsheets. Giving them one record is not a feature. It is the reason the other twelve modules work.”
For the owner, the platform reports what is owed to reps in expenses and commissions, which reps are trained and documented, what each facility has approved, and where every case stands, from the same records everyone else is using. Company-level information, including manufacturer rates, is visible to company administrators only, and that restriction applies to the AI assistant as well.
“A distributor’s rules are not complicated. They are scattered,” Short said. “What a hospital allows, what a manufacturer pays, what a surgeon prefers, what a rep is owed. Write each one down once, where the work happens, and the case bills correctly whether or not the person who knew the rule is in the office.”
IntelliLogic is delivered as a web application with a mobile app for reps, priced at 499 US dollars per month for up to 20 users. A 14-day free trial is available without a credit card, and every customer is onboarded by the IntelliLogic team using their own facilities, manufacturers and reps.
